Duke University Press is seeking a Book Production Coordinator to provide print production and manufacturing oversight for 140-plus new book titles per year; to manage the printing by outside vendors of all new Duke University Press (DUP) book titles and reprints. The Book Production Coordinator must have excellent project management skills, ability to make decisions and solve problems independently, and a demonstrated commitment to continuous learning.

Job Responsibilities: I. Manage printing by vendors of new DUP books and reprints, including delivery of digital files, quality of printing, meeting of schedules, and delivery of both printed books and e-assets (digital output) A. Perform quality assessment on final files and all related instructions before they are delivered to vendors; obtain corrected files or adjusted paperwork as necessary from other Editing, Design, and Production (EDP) staff members B. For reprints: Calculate project cost estimates using various vendor scales, compare results from vendor scales and choose vendors based on best manufacturing scenario for each new title; suggest changes to paper stocks, trim sizes, and print runs based on cost, quality, and schedule C. Provide vendors with complete and accurate materials, clear direction, and accurate information needed for printing, binding, and preparation of e-assets of all DUP books; and for delivery of those new titles, reprints, and e-assets D. Manage all printing-related schedules, working with vendor schedules to ensure tight deadlines are met, including shipments of all components (such as covers) from the component vendor to the printer; shipments of completed books to DUP warehouse or customers; deliveries of e-assets to downstream customers E. Manage all internal spreadsheets and Google docs to annotate changes in delivery dates; notify relevant EDP staff/management of any schedule changes F. Review advance copies from print vendors for quality; troubleshoot with vendor for problem; troubleshoot pending deliveries; release stock according to protocols; complete documentation for deliveries and production G. Troubleshoot problems in files when notified by archiving service; notify relevant EDP staff/management of any delays in archiving of files, especially if delivery to e-booksellers may be affected; run weekly reports for completion of expected services and deliveries

II. Contribute to the smooth operation of the Editing, Design, and Production workgroup and the exchange of information and materials with other DUP workgroups A. Successfully implement new procedures into established workflows B. Provide accurate delivery date information for books and e-assets to relevant DUP groups and teams C. Maintain accuracy of internal training materials, procedures, and instructions; suggest updates and revisions as processes change D. Foster productive working relationships with EDP colleagues, and with colleagues from DUP’s accounting and warehouse teams

III. Administer job-related costs A. Obtain and review vendor invoices for accuracy, and for compliance with pricing scales and DUP invoicing standards; work with vendors to resolve any disputed charges B. Process and submit invoices for payment, with necessary documentation and within Duke and vendor payment terms C. Notify relevant EDP management of any invoicing problems if not resolved within payment due dates D. Maintain electronic and paper financial records in accordance with DUP policy

Preferred Experience and Abilities: Three years of experience in book production and inventory management. Experience in prepress and print/bind processes; analytics; independent decision-making; cost analysis and cost management; inventory management; schedule management; vendor management.

Preferred Skills: Project management; databases; spreadsheets; organizational and problem-solving skills; analytical skills (quality control, schedule management, schedule tracking, invoice processing); excellent communication skills, both written and verbal.
