Employer Account Types & Fees

ACCOUNT TYPES

AcademicJobsOnline has four account types for employers:

  • Institution Level Membership: A university/college or individual schools/colleges within a university can use this membership type to manage their overall faculty recruitment in multiple departments for the institution
  • Department Level Account: Departments (or similar units) within an institution use this account type to post their own job ads and receive/review applications online
  • Small Research Group: This type is meant for small research groups or labs with only a few faculty to recruit for up to 2 postdocs a year - it has a lower fee
  • eDelivery Service Only: The eDelivery service is a free service designed for those groups which just want a convenient and cost-free way to receive application dossiers (including reference letters) and don't need any of our other services. As always, it's free for the applicants as well
Each employer needs only one such account. An employer account is not needed for reference writers to upload reference letters or for applicants to submit job applications.

FEES FOR DIFFERENT ACCOUNT TYPES

A nonrefundable annual fee, if applicable, will be charged to employers for using the service, via our secure online credit card payment system. You keep your account active simply by purchasing new job slots whenever you need or renewing it for free for institutional members, and there is no additional or reoccurring cost for the account itself.

Annual Renewal & Expiration: Currently enrolled employers can renew their accounts by selecting Renewal from the Admin menu after login. After a year and before a new hiring season, you will need to renew. A warning and a link will start to appear around the appropriate time. Each job ad uses one job slot, and unused job slots expire one year after the purchasing date. A new job can be posted anytime before the expiration date of the job slot used, and it can be displayed up to 2 months after the expiration date as long as your account is not expired, and an extra job slot is needed to extend beyond that. The system always uses the oldest suitable unexpired slots first for any new job postings. There is no refund for unused or expired job slots, and they can't be transferred to another group.

The annual fee for a department level account is US$450. The fee will cover up to 7 job ads from one department per year (12 months). You can post more than 7 job ads a year by purchasing more job slots (in multiples of 7) anytime at the same rate. As a special introductory offer, new employers signing up for departmental accounts can post one job ad for a year for the low introductory rate of US$150 instead of the regular annual fee. Existing departmental members can also choose to post just 1 job ad for US$300 in total, with the option to purchase 6 more job slots later (if needed, must be within 3 months) for US$250.

The institutional membership is free for qualified institutions and it can be renewed every year. The membership allows the institutional group and all the departmental and research groups within the same institution to use all the services we provide for free, except for posting new job ads. To post new job ads, job slots must be purchased first. The job slots can be purchased anytime after account creation:

  • by the institutional group for US$1500 per 10 job slots, or 5 slots (the minimum) for US$1000, and they are shared/used by all the departmental and research groups to post new job ads without any additional cost,
  • or by any of the departmental groups at a different rate (see above, the same as without an institutional membership) whenever they are needed and they can be used by that group only.
Any departments or units in a school/university with an institution level membership can sign up for using this service without paying any additional fee, upon the approval of your institutional group managers. A departmental group will use up its own unexpired job slots first before tapping into the shared institutional ones. Institutional members are not required to purchase any shared job slots, and the departmental groups can use the services as usual.

The annual fee for a small research group hiring postdocs (not any departments, divisions, or any sized groups posting any regular faculty positions) is US$150, which lets you post up to 2 jobs in total per year.

The fees are the same for groups who just want to post job ads and don't wish to receive applications online at this site.

The eDelivery service has no annual fee and doesn't use any job slots.

There is no fee for applicants to use AcademicJobsOnline.

The Institution Level Membership represents a significant cost savings over the multiple departmental accounts within the same institution. It also enables the institution to have better control over the whole hiring process at the institution level, to make sure your institutional hiring standards and data collection requirements are met.

The Institution Level Membership is quite flexible in accommodating your needs. Here are some options the system offers:

  • Enroll any numbers of departments (subgroups) without any additional cost
  • Create an institution wide EEO/AA form, generate fully customizable automated EEO reports and collect all the EEO/AA and EEO compliance data in one place
  • Ensure all job ads follow a standard template if needed
  • Configure additional questions for all applicants or for all hiring managers
  • Download all application data from all subgroups to your own databases at once
  • Import applications from other recruiting systems into any of your current postings

A university can even have multiple institutional membership groups, and each group can operate independently. For example, your EEO office (or the Provost, or the HR) can own the top level institutional group and use it to manage and access EEO data of all the applications -- except it doesn't buy any job slots.

Each school/college (or division) within the university can have their own institutional group and they can sign up their departments to use the service and buy job slots, etc.

A school/college within a large institution without a top level institution wide membership can have their own school level institutional membership, if that arrangement works better.
