User Guide for Institutional AcademicJobsOnline administrators

Many of the options you see here are also available at the Department Level and are documented in that User Guide.

You will be on the List page once you have logged in to AcademicJobsOnline.Org. The actions available to you are presented as *links* across the top of the page. If you are unfamiliar with what you can do, please first read the information on getting started as an Institutional AcademicJobsOnline manager. If you have any questions, please contact us.

Below are the actions available to you in the menu links across the top of the page. Click for details.

  • List ..lists applications received for all the active jobs in the current group. View applications by clicking on the applicants' names.

  • Search ..for applicants in the current group. You can access all applicants who have applied for at least one of your open positions.

  • Jobs ..allows employers to edit their jobs with such updates as setting a deadline and updating listings as withdrawn, filled or finished. The complete current public job list can also be viewed.

Under Admin

  • Groups ..list out all the groups you have in your institution

  • Job Status ..list out the recent job postings and their status, organized by group

  • NewGroup .. to add departments and other groups to your institution. The process is almost identical to the one you went through to register your account. Just choose your Group Type, either "Department Level" or "Small Research Group".

  • GroupsReq ..to list out any requests from an Institution's groups.

  • Config .. to edit the information you entered about your institution and define parameters, such as the institution-wide EEO form, for all departmental groups that are added to the institution.

  • Renewal .. to renew your membership for AcademicJobsOnline. Just go to Admin > Renewal, select your option and submit.

  • Members .. to view, edit, or add others to AcademicJobsOnline with access as a Faculty Member, EEO Office Login, or Group Database Manger.

  • Committees .. set up search committees to limit access to individual jobs to selected faculty.

  • NewJob ..to post an open position

  • NoCover ..list out all applicants without a cover sheet, with options to contact the applicant or complete the cover sheet yourself.

  • NewApp ..allows employers to enter the name and email address of those applicants whose materials came in on paper

  • asFaculty ..allows you to switch back and forth between Administrator and Faculty roles

  • Shared Notes ..share common notes among members in the group

  • Labels ..is for exporting basic applicant data, etc.. It downloads data so that you can produce labels, lists or merge letters from your own software

  • News ..to post announcements for particular sets of users within your dept or your applicants which will appear on their main screens when they log in

  • Email ..to send emails to a select group of applicants, group managers or faculty at one time

  • EOE ..shows you a summary report based on the EOE questions you may have added to all applications on the Config screen

  • Snapshots ..to save and/or download, in one zip file, all current application materials

  • Wanted ..to view all of the publicly available applicants

  • Contact Us ..send us an email with your question or comment

  • NewPasswd ..change your password

  • Dwnlds .. lets you combine several different spreadsheets into one by using some key columns you select

  • Data URLs ..to create a new access URL you can use to access a specified target URL with the current user's credentials

  • Data Exports ..to export your application data to your local environment

  • Logout ..logs you out of your AcademicJobsOnline.Org account
