Position Details:

Reporting to the Executive Director/Associate Dean for the Sciences, the Director of Administrative Operations will support the Executive Director in facilitating the day-to-day operations across the ASRC's scientific and administrative units (e.g.; legal, financial, health and safety, etc.). The Graduate Center’s Advanced Science Research Center (ASRC) is a. 200,000 square-foot facility in upper Manhattan, designed to promote interdiscplinary collaboration among scientists in five areas of research and innovation: nanoscience, photonics, structural biology, neuroscience, and environmental sciences.

Based at the ASRC location in Harlem, the incumbent will supervise staff and work closely with the five scientific initiative Directors and Core Facility managers to provide the necessary assessments and improvements, on an ongoing basis, to ASRC's infrastructure, communication, facilities, and events management.

Duties include but are not limited to: - Conducts regular reviews of business models, budgets, and administrative issues of Core Facilities. - Coordinates communication between the Initiatives and Cores and various operations in the ASRC, the Graduate Center; CUNY Central, and other New York-area institutions as needed. - Works with colleagues at the Graduate Center and the ASRC to establish and chair operations-related committees as needed (e.g. Compliance, Health & Safety, Communications, Events, Facilities, etc.). - Serves as a resource for faculty and administrators regarding the Graduate Center’s and CUNY’s policies and procedures. - Conducts research, analysis, and strategic planning for ASRC initiatives and special projects. - Serves as a liaison with CUNY’s technology transfer office in relation to IP protection. - Assists with the hiring of new ASRC employees. - Supervises the ASRC Director of Facilities and coordinates space allocation requests. - Represents the ASRC at meetings with internal colleagues and external colleagues and stakeholders. - Performs other duties as assigned.

CUNY Title Overview:

- As a senior staff member in a large academic or administrative department, division, or school, manages operations and administration, participates in planning and setting priorities, and oversees related projects to ensure their success.

- Works with management to create short- and long-term business plans, including operational, organization, and financial aspects.

- Works with management and others to develop and implement operating policies and procedures.

- Manages the ongoing financial, operational, and staffing activities of the department.

- Manages operating budget and performs analysis and reporting to support decision-making.

- Oversees legal, safety, fiscal, and other compliance requirements.

- Oversees facilities, technology, and materials utilized in the department, coordinating with appropriate Campus services.

- Works with other Campus or University units to coordinate and plan fund-raising, grants, marketing, communications, and outreach activities.

- Independently carries out a portfolio of responsibilities under the department's purview, such as managing committees, securing approvals, and providing communications.

- Performs related duties as assigned.


Bachelor's Degree and eight years' relevant experience required.

A preferred candidate should have: - Ph.D. degree. - Experience working in a scientific administration and/or in a scientific operation. - Knowledge of equipment associated with scientific research. - Strong written and verbal communication skills.
